We collect information you voluntarily provide when you:

  • Submit our intake form: first and last name, email address, phone number, country and time zone, type of inquiry, service of interest, age range, current level or grade, learning goals, schedule preferences, and any additional notes you choose to share.
  • Submit our contact form: name, email address, and your message.
  • Book a consultation through Calendly: name, email address, time zone, and any responses to event-specific questions.
  • Enroll in services and make payments: name, billing address, payment card information, and transaction history (collected and processed by our payment processor; we do not store full card numbers on our servers).
  • Communicate with us by email, phone, or video conference: any information you choose to share, including correspondence content and student progress information.
  • Apply through the Step Up for Students scholarship program: scholarship eligibility information, student identifier, and any documentation required to process scholarship-funded services.

With Service Providers

We use trusted third-party service providers to operate our business. These providers process your information on our behalf under their own privacy policies: Formspree (form submissions), HubSpot (contact records, CRM, and email), Calendly (scheduling), Zoom (video sessions), Stripe and PayPal (payments), GoDaddy (website hosting), and Google Workspace (business email and document storage). Each provider has its own privacy practices, which we encourage you to review.

For Legal Reasons

We may disclose your information when we believe in good faith that disclosure is necessary to (a) comply with a legal obligation, court order, subpoena, or governmental request; (b) protect the rights, property, or safety of KCE, our students, our families, or others; (c) investigate or address suspected fraud, security issues, or violations of our Terms of Service; or (d) enforce our agreements.

With Step Up for Students

If you are receiving services funded through any Step Up for Students scholarship — including the Personalized Education Program (PEP), the Florida Tax Credit Scholarship and Family Empowerment Scholarship for Educational Options (FTC/FES-EO), and the Family Empowerment Scholarship for Students with Unique Abilities (FES-UA) — we share information necessary to verify eligibility, document service delivery, and receive payment with Step Up for Students and any state agencies overseeing the program.

In Business Transfers

If KCE is involved in a merger, acquisition, financing, reorganization, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such transfer and any choices you may have.

With Your Consent

We may share information for any other purpose disclosed to you and to which you consent.

4. Children's Privacy

KCE provides educational services to students, including students under the age of 18. Our website and online services are not directed to children under 13, and we do not knowingly collect personal information from children under 13 directly through the website.

When we provide services to a minor, we require that the minor's parent or legal guardian initiate the inquiry, submit any intake forms, schedule appointments, and complete enrollment and payment on the minor's behalf. Information about the minor (such as name, age, grade, and learning goals) is provided to us by the parent or guardian.

During the course of services, we may collect additional information about a minor student that is necessary to deliver tutoring or instruction (such as work samples, assessment results, or progress notes). We use that information solely to deliver and improve our services to that student, share it only with the parent or guardian and our instructional team, and retain it as described in Section 7.

If you believe we have inadvertently collected information from a child under 13 without verifiable parental consent, please contact us using the information in Section 11 and we will promptly delete it.

5. Your Rights and Choices

Depending on where you live, you may have certain rights regarding your personal information, including the right to:

  • Access the personal information we hold about you
  • Request that we correct inaccurate or incomplete information
  • Request that we delete your personal information, subject to legal exceptions
  • Opt out of marketing emails by clicking the unsubscribe link in any marketing message or contacting us directly
  • Withdraw consent previously given for processing your information

To exercise any of these rights, contact us using the information in Section 11. We will respond within a reasonable time and as required by applicable law. We may need to verify your identity before fulfilling certain requests.

Our service providers maintain their own security programs. However, no method of transmission over the internet or method of electronic storage is fully secure, and we cannot guarantee absolute security.

We retain personal information for as long as needed to provide our services, comply with legal obligations, resolve disputes, and enforce our agreements. Inquiry and contact form submissions are typically retained for up to three years. Active client records are retained for the duration of services and for up to seven years thereafter for tax and recordkeeping purposes. Marketing list information is retained until you unsubscribe.

8. International Users

KCE is based in the United States. If you access our website or services from outside the United States, your information will be transferred to and processed in the United States, where laws governing personal information may be different from those in your country. By using our services, you consent to this transfer.
